How It Works: One Document Through the SI Loop
This page walks a single document through the SI loop — from the moment it arrives to the moment the work it represents is finished and on the record. The example is a supplier invoice submitted through a portal, but the same five stages apply to applications, claims, contracts, and case files.
Intake: the document enters through MaxxLaunch™
The supplier submits the invoice through the vendor portal — MaxxLaunch™ on the MaxxLogix platform. The portal is the front door: it captures the submission the moment it lands, with the supplier's identity, the purchase order they reference, and the invoice document itself, and queues it for the loop.
Nothing has been read yet, and nothing needs to be. Intake's job is capture and identity: from this point on, the document's location and status are always known, and no submission can sit unnoticed in an inbox.
Read & understand: MaxxOwl™ SI reads the document
Now the intelligence does the reading. MaxxOwl™ SI classifies the document first: is this an invoice, a credit note, a statement? It decides from the document's layout, language, and content — not from a file name or a folder somebody chose.
Extraction follows: vendor, invoice number, dates, line items, tax, and totals are lifted out as structured data. Skewed scans and multi-page attachments are handled as part of the read, and every extracted value carries a confidence level that the next stage puts to work.
Validate: N-Way Match™ checks it three ways
Extracted data is only useful if it can be trusted, so the loop checks it before anyone acts on it. Totals are recomputed. Dates and formats are normalised. Required fields must be present. Then N-Way Match™ compares the invoice against its related records — the purchase order and the goods receipt — three ways at once.
On this invoice, one line disagrees: the quantity invoiced is higher than the quantity the receipt confirms. The match catches it here, before payment — not after.
Decide: the exception goes to a person, with context
A disagreement doesn't stall the document; it routes it. The exception leaves the straight-through path and lands in Outcome Workspace™, where a reviewer sees the document, the extracted data, and the specific mismatch side by side. In this case the explanation is simple — a partial delivery, invoiced in full — and the reviewer accepts the received quantity, recorded with a name and a timestamp.
Everything else on the invoice never waited. Only the flagged line needed judgement, and judgement is exactly what the person supplied.
Record: the outcome is written in Outcome Cloud™
With the exception resolved, the loop closes. The invoice is ready for payment at the corrected amount, and the outcome — what got done with it — is recorded in Outcome Cloud™ and filed in Outcome Repository™: what was matched, what was flagged, who decided, and how long each stage took.
That record is the point. It is what Outcome Analytics™ reports on: volumes by document type, exception rates, stage-by-stage cycle times, and the outcomes each process produces. Improvement stops being a guess, because the loop keeps its own evidence.
Documents that don't come through a portal
Not everything arrives through MaxxLaunch™. Documents also land by email, upload, scan, and system feed — and they join the same loop at the read stage, where MaxxOwl™ SI takes over. The front door changes; the reading, validation, decisions, and recording don't. Documents and data, one loop.
Same loop, every document type
Every document type your operation runs on can be walked through the same five stages. The rules, matches, and approvals change from process to process; the loop doesn't. That consistency is what makes the outcomes comparable — and what Super Intelligence means in practice.
